Personal Sessions

Creating sessions

To create a session, select a date in your calendar or use the Create session button.

You can search for organisations or add private work by creating a new organisation.

Complete the required fields, then select Create session.

Duplicating sessions

To duplicate a session, drag and drop an existing one.

On mobile, open a session, tap Copy, then tap another calendar slot to paste.

Invoicing Personal Sessions

How to create an invoice

After adding a session in your calendar, go to Invoices, select the sessions to invoice, then choose Create invoice. You can also create and email an invoice in one step.

General

Eligibility requirements?

To use airGP, you must:

  1. Be a registered General Practitioner (GP) with the UK General Medical Council (GMC).
  2. Be on the Performers List in good standing.
  3. Be eligible to work in the UK and the NHS.
  4. Upload all required documents and a recent profile photo.
  5. Meet any additional requirements set by an individual surgery or organisation.

Once these requirements are met, you can search and book locum shifts on airGP.

Documents & verification

To use airGP, you need to provide documents that verify your identity and eligibility as a GP locum.

Required documents:

  1. Passport or national ID
  2. Disclosure & Barring Service (DBS)
  3. CV

Please upload these documents before booking shifts to avoid delays.

Is there an app?

airGP is mobile-friendly and works in your phone or tablet browser.

You do not need to download an app. Just open the website and sign in.

You can also add airGP to your home screen for quicker access.

This creates an app-style shortcut, so you can open airGP without typing the URL each time.

airGP is designed to work consistently across desktop and mobile devices.

Calendar

When you book a shift on airGP, it is automatically added to your calendar and marked as booked.

Open any event to view details such as shift times and organisation address.

Your calendar provides a clear view of availability and confirmed bookings.

Calendar syncing

You can sync bookings to your preferred calendar app from the Calendar page.

Booking

How do I book sessions?

To book a session:

  1. Sign in and open Book.
  2. Search available shifts or use filters (for example, location).
  3. Select a shift and choose Apply to submit your application.

You will receive a confirmation email when your application is accepted by the practice manager.

Distance and fee values shown at booking stage are estimates. Final values appear on your invoice.

Can I withdraw from a session?

To withdraw from a shift:

  1. Sign in and open Calendar > Session List.
  2. Find the shift, open the 3-dot Actions menu, then select Withdraw.
  3. You will receive an email confirmation and the shift will be removed from your calendar.

Please notify both airGP and the practice, especially for short-notice withdrawals.

Repeated short-notice withdrawals may lead to a review of your account.

Invoicing & Payments

How do I invoice?

To create an invoice after completing a shift:

  1. Open Invoices from the top menu.
  2. Under the Invoice tab, open the 3-dot action menu and select Create invoice.
  3. You can edit the invoice before creating it (for example, expenses, duration, or hourly rate).
  4. You will receive an email when the surgery accepts or rejects your proposed changes.
  5. Any amendments should be agreed in advance with the practice manager.
  6. Review the invoice before submitting.
  7. Once it is paid, you will receive a payment confirmation email.

When do I get paid?

Once payment is received from the GP practice, funds are transferred to your bank account.

Tax & MTD

Does airGP support Making Tax Digital (MTD)?

Yes. airGP supports MTD-ready record keeping for locum work.

You can export quarterly summaries of fees and expenses to support your Making Tax Digital submissions.

Pension

How do I claim pension?

Pension support on airGP is currently for practices in England using PCSE Online for submissions.

The platform does not generate PDF pension forms.

You must submit via PCSE Online, or alternatively create your own PDF Form A and B / Form SOLO.

Pension eligibility

You must have a pension claim number (SD number) and be eligible for NHS Pension.

If you work as a limited company, pension claims are not available under NHS England pension rules.

Account & Profile

What if I do not have a smartcard number?

You can still use airGP without a smartcard, as most practices have a locum card available.

If you need help getting set up, contact support.

Account deletion

To delete your account:

  1. Sign in and open Account > Profile Settings > Account Settings.
  2. Click Delete Account at the bottom of the page.
  3. Enter your password to confirm.
  4. Click Delete Account to permanently delete your account.

Account deletion is permanent and cannot be undone. You will lose access to your profile, bookings, and invoices.

A cooling-off period is available so you can export your data before permanent deletion.

For Organisations

General

How do I register?

To register your GP surgery on airGP:

  1. Select Sign up in the top-right corner and choose Organisation.
  2. Enter your email address.
  3. Complete the registration form with your details.
  4. Select Submit to complete registration.

After these steps, you will receive an email to confirm your email address.

Upon successful approval, we will send a confirmation email.

Eligibility requirements?

Registration is currently open only to NHS GP practices providing in-hours community services.

How to create a session?

Sessions can be created via presets or by using the quick create button in calendar view.

We recommend creating common presets (for example, morning and afternoon sessions) for a smoother workflow.

Booking

How do I view doctors' profiles and documents?

When a doctor applies, calendar view shows the number of applicants. Open the applicant action button to review applicants and profiles.

Can I withdraw or cancel a session?

You can withdraw a session at no charge if no applicant has been confirmed. If a session has a confirmed applicant, a charge may apply.

Invoicing & Payments

How do I settle an invoice?

Once a session is finished, the doctor submits an invoice to your surgery. You will receive a notification and can find the invoice in the Invoices menu.

Pension

Can I offer pension?

You can offer pension to prospective doctors. The platform only supports online submissions to PCSE Online in England.

Account & Profile

Can I contact the doctor?

Yes. airGP includes built-in chat. Open Chat from the top-right corner to message doctors directly.
